REFUND POLICY

A LEGAL DISCLAIMER

TRAC OPTICS CORP.

Refund Policy

Effective date: July 1, 2026   |   Last updated: August 24, 2026

1. Scope

This Refund Policy applies to purchases made at https://tracoptics.vision from Trac Optics Corp. ("we", "us", "our") and shipped to domestic (Canadian) and international destinations. It explains eligibility, timelines, procedures and responsibilities for returns, exchanges and refunds. It forms part of our Terms and Conditions.

2. Return Window and Eligibility

You may request a return and refund within 15 days of the delivery date, unless a longer period is required by the law of your jurisdiction.

To be eligible, items must be returned in original condition — unused, unworn, undamaged, and complete with original packaging, tags, and any included accessories or documentation.

The following are not returnable, except where the law requires otherwise or the item is faulty:

  • custom, personalized or made-to-order products;

  • clearance and final-sale items, where identified as such at the time of purchase;

  • gift cards and digital products once delivered;

  • items returned without a Return Merchandise Authorization (RMA) number;

  • items showing signs of use beyond what is reasonably necessary to inspect them.

3. Faulty, Damaged or Incorrect Items

If you receive an item that is defective, damaged in transit, or not what you ordered, contact us within 15 days of delivery at info@tracoptics.vision with your order number, photographs of the item and its packaging, and a description of the problem.

At our option, we will provide a replacement, a repair, a full refund (including original shipping charges), or store credit. We may ask you to return the item for inspection, and we will cover the cost of doing so. Nothing in this Policy limits your statutory rights in respect of goods that are not of merchantable quality or not as described, including under the Business Practices and Consumer Protection Act (British Columbia) and the Sale of Goods Act (British Columbia).

4. How to Start a Return

Contact Customer Support at info@tracoptics.vision with the following:

  • your order number;

  • the item or items you wish to return;

  • the reason for the return;

  • photographs, if the item is damaged, faulty or incorrect.

We will respond with a Return Merchandise Authorization (RMA) number and return instructions. Please do not ship a return before you receive an RMA number — unauthorized returns may be refused or delayed, and we cannot be responsible for them.

5. Return Shipping and Costs

Change-of-mind returns

Return shipping costs, and any customs or import charges arising on the return, are your responsibility unless we state otherwise in writing or the law requires us to bear them. Original outbound shipping charges are not refunded on change-of-mind returns.

Faulty, incorrect or carrier-damaged items

We will cover reasonable return shipping costs and any customs charges incurred in returning the item, and will refund your original shipping charges.

International returns

You are responsible for export clearance and for completing any customs documentation required to return the item, unless we arrange and prepay the return shipment in writing. Mark returns clearly as "returned goods" using accurate declarations.

6. Duties, Taxes and Customs

International orders are shipped on a Delivered Duty Paid (DDP) basis, with duties and import taxes calculated and collected at checkout. Where we have prepaid duties and taxes on your order, an approved refund will include the duties and taxes we actually paid on the returned items, to the extent they are recoverable.

Where duties or taxes were instead collected from you directly by a carrier or customs authority, those charges are generally recoverable only from that authority. We will provide documentation to support your claim, but we cannot refund charges we did not collect. If duties or taxes are subsequently refunded to us by a carrier or tax authority, we will pass the corresponding amount on to you.

We will not falsely declare shipments or mark them as gifts in order to avoid customs duties.

7. Restocking Fees and Condition Assessment

For returns that are not the result of our error — for example, change-of-mind returns — we may deduct a restocking fee of up to 10% of the item price, where permitted by applicable law. No restocking fee applies to faulty, damaged or incorrect items.

All returned items are inspected on arrival. We reserve the right to refuse a return, or to reduce the refund, where an item shows signs of use, is damaged, or is missing parts, packaging or accessories. If a return is refused, we will contact you and can return the item to you at your cost.

8. Refund Method and Timing

Approved refunds are issued to the original payment method within 3 business days after we receive and inspect the returned item, or after we confirm that an item was not delivered. Refunds are processed through Stripe, our payment processor.

How quickly the refund appears on your statement depends on your card issuer or payment provider, and typically takes a further 5 to 10 business days. If the original payment method is no longer available, we may issue store credit or arrange an alternative refund method with you.

Refunds are issued in Canadian dollars (CAD). If your card was charged in another currency, the amount you receive may differ slightly from the amount originally charged because of exchange-rate movements and any conversion fees applied by your bank. We are not responsible for those differences.

9. Partial Refunds

A partial refund may be issued where an item shows obvious signs of use, is returned outside the allowed window but is accepted at our discretion, or is returned with parts or accessories missing. We will tell you the reason for any deduction before processing the refund.

10. Exchanges

If you need a different size, colour or a replacement, contact us to confirm availability. Exchanges are processed as a return plus a new order, unless we agree to ship a replacement before receiving the returned item, in which case additional shipping charges may apply. Price differences will be charged or refunded as applicable.

11. Order Cancellations

You may request cancellation of an order at any time before it ships by contacting us at info@tracoptics.vision. If the order has already been dispatched, it must be handled as a return under this Policy. Refunds for cancelled orders are issued in full to the original payment method.

12. Lost or Stolen Returns

We are not responsible for return packages that are lost or damaged in transit where you have chosen a shipping method without tracking. Please use a tracked and insured service and keep your proof of shipment until your refund is complete. Where we provide a return label, we take responsibility for the shipment once the carrier confirms pickup or acceptance.

13. Chargebacks

If you have a problem with an order, please contact us first — most issues are resolved quickly. If you initiate a chargeback with your card issuer without contacting us, we will cooperate fully with the issuer's investigation and will provide the relevant order records. We reserve the right to seek recovery of amounts owing for items returned without authorization, for items not returned, or for chargebacks that result from misuse.

14. Promotional Items and Bundles

If your purchase included a free promotional item, a gift with purchase, or a bundle discount, and you return part of the purchase, the refund may be adjusted to reflect the prorated value of the promotion or the value of any promotional item not returned. If a return brings your order below a free-shipping or discount threshold, the corresponding benefit may be deducted from the refund.

15. Consumer Rights by Jurisdiction

Consumers in some jurisdictions have statutory rights that provide longer return periods or additional remedies — for example, the 14-day right of withdrawal for distance sales in the EU and UK. Where local law provides greater protection than this Policy, that law applies. Nothing in this Policy limits or excludes rights that cannot lawfully be limited or excluded.

16. International Specifics

Customs rules, import restrictions and carrier limitations can affect how returns and refunds are handled across borders. For cross-border returns you may need to provide a commercial invoice, the RMA number, and other customs documentation. Delays in customs clearance of a returned item may extend the time needed to process your refund.

17. Fraud Prevention

We reserve the right to refuse returns or refunds, or to require additional verification, where we reasonably suspect fraud, abuse of this Policy, or a pattern of excessive returns.

18. Changes to This Policy

We may update this Refund Policy at any time. The version in effect at the time of your purchase applies to that purchase. Changes take effect for orders placed after the updated effective date shown at the top of this Policy.
